Who we are
Sansflow POS is a point of sale app for food, drink and retail businesses in Indonesia. It runs in the browser at pos.sansflow.com, and this website, sansflow.com, tells people about it. In these terms, “Sansflow”, “we” and “us” mean Sansflow, an independent project that is not a registered company yet. Our office is at Jl. R.E. Martadinata, Simpang IV Sipin, Telanaipura, Jambi 36124, Indonesia.
These terms apply to businesses that sign up for and use Sansflow POS (“you”, the business) and to anyone who visits sansflow.com. If you are only visiting the website, the parts about accounts, billing and data do not apply to you.
By creating an account or using the service, you accept these terms on behalf of your business. If you do not accept them, please do not use Sansflow.
The service and your account
Sansflow POS brings the till, the kitchen display, shifts and cash control, and reports into one system. It works on Android, iPad, iPhone, Windows and Mac. Some features are marked “coming soon”: we only commit to what is live, and what your plan includes is listed on our pricing page.
- The person who creates the account is the owner. The owner must be an adult who is allowed to act for the business.
- The owner is responsible for every staff login they create and for what is done under those logins. Give each person only the access they need, and remove it when someone leaves.
- Keep passwords private. Tell us straight away at hello@sansflow.com if you think someone has got into your account.
- Give us accurate details about your business and keep them up to date.

You are welcome to browse sansflow.com and share links to it. Please do not copy large parts of it or use it in a way that harms the site or its visitors.
The website gives general information. What your plan includes and costs is set by your account and our pricing page. Analytics cookies only run if you accept them in the cookie banner; our Privacy Policy explains the details.
Acceptable use
Use Sansflow to run your business lawfully. Do not:
- break the law, including tax, consumer protection and payment rules, or sell anything that is illegal to sell;
- try to get into another business’s account or data, or scan, test or break our security without our written permission;
- overload, disrupt, copy, reverse engineer or resell the service, or scrape it with bots;
- upload malware, or content that is unlawful, abusive or infringes someone else’s rights;
- use Sansflow to record sales or payments for a business that is not yours.
Some paid plans have fair-use limits, for example on transactions or AI insights, shown on our pricing page. Going over a fair-use limit never locks your till; we will get in touch about a plan that fits better.
Your data and your customers’ data
Your business data is yours: products, prices, orders, staff records, reports, and any details about your customers that you enter, such as a name on a pay-later bill or an invoice.
For your customers’ personal data, your business is the controller and Sansflow processes it on your behalf, in the sense of Indonesia’s Personal Data Protection Law (Law No. 27 of 2022). That means:
- you decide which customer data to collect and why, and you are responsible for having a lawful basis for it and for telling your customers;
- we use that data only to provide and support the service for you, following your instructions;
- we protect it with reasonable security measures and tell you without undue delay if we learn of a breach that affects it;
- we do not sell it.
You give us permission to store, copy and process your data only as far as we need to run, secure and support the service. How we handle personal data is set out in our privacy policy, which is part of these terms.
How we handle the personal data we collect for ourselves, such as your account details and website visits, is explained in our Privacy Policy.
Payments and QRIS
Sansflow records how each order is paid: cash, QRIS, card, bank transfer or pay later. QRIS and other digital payments are processed by third-party payment providers, such as your bank or payment service, under their own terms and fees.
Sansflow is not a bank, a payment service provider or an e-money issuer. We do not hold, receive or move your customers’ money. Questions about a settlement, a refund to a customer or a disputed payment go to your payment provider.
Before you hand over an order, check that the payment has really arrived.
Plans, trial, billing and taxes
Sansflow has a free plan and paid plans, priced per outlet. What each plan includes and costs is on our pricing page. Prices are in Rupiah and can change; we will tell you before a change applies to you.
- Trial. Every new business gets the Pro plan free for 30 days, with no card needed. When the trial ends, you continue on the free plan unless you pay for a plan.
- Billing. Paid plans are billed monthly, or yearly if you choose yearly billing. Invoices are drafted on the 1st of the month and due on the 8th, and you pay them by bank transfer or QRIS.
- Taxes. Sansflow does not currently charge VAT (PPN), so the price on your invoice is the full price. If that changes, we will tell you before it applies. Taxes on your own sales are yours to handle.
- Offers. Special offers, such as the Early User discount, follow the conditions shown with the offer. One offer applies per business, every discount shows its end date on the invoice, and an upgrade keeps the same percentage off.
- Moving to a smaller plan. You keep your existing records. Only new records beyond the smaller plan’s limits are restricted.
If an invoice is not paid
If an invoice is still unpaid 7 days after its due date, your account moves to the free plan. Your records are kept. To get paid features back, pay the open invoice or choose a plan again.
Cancellation and refunds
Cancelling or downgrading a paid plan: you can do it at any time. The change takes effect at the end of the period you have already paid for, and you keep your paid features until then.
Refunds: your first paid invoice, monthly or yearly, is covered by a 30-day money-back guarantee: if Sansflow is not a fit within 30 days of paying it, ask us and we refund it in full. After that, monthly plans are not refunded for part of a month. If you cancel a later yearly payment within two weeks of paying, we refund it in full; after that it runs to the end of the paid year. If the service fails because of a fault on our side, tell us and we will make it right, with a refund where that is fair.
The free plan has no charges, so you can stop using it whenever you like. Where Indonesian consumer law gives you a right that these terms cannot take away, that right still applies.
Availability and offline mode
We work hard to keep Sansflow running, but we cannot promise it will always be available or free of errors. We sometimes pause the service for maintenance, and it can be affected by things outside our control, such as internet, power or third-party outages. There is no uptime guarantee unless we agree one with you in writing.
Offline mode helps when the connection drops:
- new bills are saved on the device and sync once you are back online;
- taking payment needs an internet connection;
- bills that have not synced yet live only on that device, so they can be lost if the device is lost or reset or its browser data is cleared. Reconnect as soon as you can.
Hardware
Sansflow runs on the tablets, phones and computers you already have. Devices, receipt printers and your internet connection are bought and looked after separately and are not part of your plan.
Receipt printing works with 58 mm Bluetooth thermal printers, in Chrome or Edge on Android, Windows and Mac. Browsers on iPad and iPhone do not support Bluetooth printing. Setup steps are on our download page.
We cannot guarantee that every printer model works, and we are not responsible for faults in hardware we did not sell you. The seller of a device handles its warranty.
Intellectual property
Sansflow, the app, this website, our logo and everything we built for them belong to us or our licensors. Your plan gives you a limited, non-exclusive, non-transferable right to use the service for your business while your account is open. It does not give you ownership of any part of it.
Your data, logo and product photos stay yours. You let us show them inside your account only to provide the service.
Feedback
Ideas and suggestions are always welcome. If you send us some, we may use them to improve Sansflow without owing you anything for them.
Third-party services
Sansflow relies on other companies to run, such as hosting, email and payment providers, and the app or website may link to services we do not control. Your use of a third-party service is between you and that provider, under their terms, and we are not responsible for it.
Disclaimers and limitation of liability
Sansflow is provided “as is” and “as available”. As far as the law allows, we make no promises beyond the ones in these terms, for example that the service suits a particular purpose or that every report is free of error. Check important numbers, such as tax figures, before you rely on them.
As far as the law allows:
- we are not liable for indirect or consequential loss, such as lost profit, lost sales, or bills lost before they synced;
- our total liability for all claims relating to the service is limited to the fees you paid us in the 12 months before the claim;
- nothing in these terms limits liability that Indonesian law does not allow to be limited, such as for fraud or wilful misconduct.
If someone brings a claim against us because you used the service in breach of these terms or the law, you agree to cover our resulting losses.
Suspension and closing an account
You can close your account at any time by emailing hello@sansflow.com. Any paid period is handled as described under Cancellation and refunds.
We may suspend or close an account that breaks these terms or the law, puts other users or the service at risk, or stays unpaid as described above. Where it is reasonable, we will warn you first and give you a chance to fix the problem.
After an account is closed, you can ask us for a copy of your business data. We keep it for 30 days after closing, and send it to you by email in a common file format. After that we delete it, unless the law requires us to keep it.
Changes to these terms
We may update these terms as Sansflow grows. If a change matters, we will tell you by email or in the app before it takes effect, with a notice period of at least two weeks. The date at the top of this page shows the current version.
If you keep using Sansflow after a change takes effect, the new terms apply. If you do not accept them, you can stop using the service before then. We may also add, change or remove features; if we remove a major feature from a paid plan, we will tell you in advance.
Governing law and disputes
These terms are governed by the laws of the Republic of Indonesia.
If something goes wrong, email us first at hello@sansflow.com; most problems are solved that way. If a dispute cannot be settled by talking, it will be resolved by the District Court (Pengadilan Negeri) of Jambi, under Indonesian law.
Language
These terms are available in Indonesian and English. In line with Law No. 24 of 2009, if the two versions differ, the Indonesian version prevails.
