FAQ

Questions, answered.

Everything owners ask us about Sansflow POS, from the first demo to the end of the shift, in one place.

Getting started

Is Sansflow right for my kind of business?

It is built for food, drink and retail: cafés, restaurants, warungs, bakeries, bars and shops. Tell us how you work and we will say plainly whether it fits, including features that are still coming soon.

Do I need to buy new hardware?

No. Sansflow POS runs in the browser on the tablets, phones and laptops you already have. Receipts print to 58 mm Bluetooth thermal printers from Chrome on Android or a laptop.

Does it handle dine-in, takeaway and delivery?

Yes. Set up your own order types, each with an optional fee. Bills can stay open while guests order more, and delivery orders move through their own status board.

What happens after I request a demo?

We read it, then contact you on WhatsApp or by phone to agree a time that suits you, usually within 72 hours. Bigger setups can take a little longer to plan.

Do I need to prepare anything for the demo?

No. If you can, have your menu and the tablet, phone or laptop you would sell on close by, so we can show Sansflow on your own setup.

Pricing & plans

Why is the Free plan so generous?

Because Sansflow exists to help small businesses grow. The Free plan is meant to be enough to run a real shop, with no time limit, and the paid plans are what keep it free. When a trial ends, nobody is locked out.

How does the free trial work?

Every new business gets all Pro features free for 30 days, with no card needed. When the trial ends, keep selling on Free, or pick the paid plan that fits you.

Is VAT (PPN) added on top?

No. The price you see is the price you pay. Sansflow is not a VAT business, so there is no VAT on your invoice.

What do I save by paying yearly?

Micro is Rp 799.000 a year, 33% less than paying monthly. Pro and Business are pay 10 months, use 12: Rp 3.500.000 and Rp 5.990.000 a year, 17% less.

Who gets the Early User offer?

The first 50 paying outlets, or anyone whose first invoice is paid by 31 March 2027, whichever comes first. It takes 30% off your first six paid months, with free menu import and remote setup. After that you pay the list price, locked for 12 months. Monthly billing only.

Is there a money-back guarantee?

Yes, on your first paid invoice. If Sansflow isn’t a fit within 30 days, ask and we refund it.

Can I combine offers?

No, it’s one offer per business. Every discount prints its end date on the invoice, and if you upgrade, you keep the same percentage off.

What does fair use mean on Micro?

Micro includes 5,000 transactions a month under fair use. Going past it never locks the till: you can always keep selling. If an outlet stays above 5,000 orders for two months, we’ll suggest Pro.

How many staff can I add?

On Micro, Pro and Business, as many as you need. There is no fee per staff member. The Free plan has two logins: the owner and one cashier.

Which plan do I need for the kitchen display?

Pro or higher. Free and Micro don’t include the kitchen display. Every new business can try it free for 30 days with Pro.

Which plans include inventory?

Stock, ingredients and recipes are included in Pro, Business and Enterprise. On Micro they are an add-on at Rp 49.000 per outlet a month, or Rp 490.000 a year. Free does not include them.

Which plan do I need for the customer display?

Pro or higher. Free and Micro don’t include the customer display. Every new business can try it free for 30 days with Pro.

How do I pay?

By bank transfer or QRIS. Invoices are drafted on the 1st and due on the 8th. If one is still unpaid 7 days later, the account moves to Free, and your records are kept.

Can I cancel or downgrade any time?

Yes. The change takes effect at the end of the period you already paid for, and monthly plans aren’t refunded for part of a month. If you move to a smaller plan, your existing data stays.

Devices & printing

Which devices can run the till?

Any modern browser on an Android tablet or phone, an iPad, an iPhone or a laptop. There is also an Android app in beta, from sansflow.com/downloads.

Does it work on an iPad or iPhone?

Yes. Open it in Safari and add it to your home screen from the Share menu. An iPad makes a great till or kitchen screen. Apple’s browsers can’t talk to Bluetooth printers yet, so print receipts from an Android device or a computer on the same account.

Which printers does it work with?

58 mm Bluetooth thermal receipt printers, from Chrome or Edge on Android, Windows and Mac. Apple’s browsers can’t talk to Bluetooth printers yet, so print from an Android device or a computer on the same account.

What can I use as a kitchen screen?

Any modern browser on an Android tablet, iPad, laptop or phone, or the Sansflow Android app. An iPad makes a great kitchen screen. On a phone the columns become tabs.

What do I need to run the customer display?

The device you run the till on, plus a second monitor that faces the guest. The display opens as a second window of the same browser and follows the till from there.

Offline & data

What happens if the internet drops?

The till keeps your menu on the device and your staff can keep saving open bills. They sync the moment you are back online. Taking payment needs a connection, so every payment is confirmed online. With the Android app, tills and kitchen screens on the same Wi-Fi pass orders to each other directly.

Can I export my sales?

Yes. CSV export is on every plan, Free included. You can also save the daily or monthly report as a PDF, and Business adds an export for your accountant.

Are refunds taken out of the figures?

Yes. Sales are shown net of refunds, and each order records how it was paid, so the end-of-day report matches the drawer.

How far back can I look?

The Free plan shows the last 30 days, and your data is kept forever. Micro, Pro and Business keep your full report history. If you move to a smaller plan, your existing records stay.

What happens to my data if I move to a smaller plan?

Nothing is lost. A smaller plan limits new records and never deletes old ones.

Can I see my busiest hours?

Yes. Sales by hour shows every hour of the day, and you can filter the report by morning, afternoon, evening or night.

Do I get a report without opening the app?

On Micro and up, a daily report arrives by email, alongside AI daily and shift insights: 150 a month on Micro, 300 on Pro and Business.

Can I see all my outlets in one place?

Yes, with the multi-outlet dashboard on Business and Enterprise.

Stations

Which payments can I take?

Cash, QRIS, card or bank transfer, and pay later for regulars and invoices. Each order records how it was paid, so the end-of-day report matches the drawer.

Can I split a bill between guests?Soon

Not yet. Split bill is coming soon on the Business plan, together with EDC.

Does every item go to the kitchen?

Only the products you set as needing the kitchen. Items set as ready to serve skip the kitchen display.

Can I run more than one kitchen screen?

Yes. Screens are unlimited on Pro and up. Split the kitchen into stations and each screen shows only the items for its station. Items without a station show on every screen.

What do the timer colours mean?

The timer counts from the moment the order was placed. It turns amber at 10 minutes and red at 20, until the ticket is marked ready.

How do drinks reach the bar and not the kitchen?

Each product has a station. Tag your drinks to Bar and your food to Kitchen, and each screen shows only its own items. A product with no station shows on every screen.

What does the barista see on a ticket?

The bill name or number, each drink with its quantity, variant, add-ons and notes, and how long the ticket has been waiting.

What happens when a drink is ready?

The barista taps Ready and the ticket moves to the ready column. One more tap marks it completed and clears it from the bar.

Can a barista take payments?

Not with the preset Barista role. It opens the station, not the till, and it can’t see financial reports. You can change what each staff member may do in their role.

What does the guest see between orders?

Your promo images and YouTube videos on a loop, with your tagline. You choose how long each slide stays. With no media added, it shows your name, logo and the time.

Can I turn the rating off?

Yes. Switch off the feedback survey in the customer display settings, and after payment the screen goes straight back to your promos.

Where do the ratings go?

Into Transactions, under Feedback: average rating, response rate, the spread from one to five and the most chosen answers, filtered by date. The owner dashboard also counts this week’s and this month’s responses.

Can a guest close the screen?

Not easily. It runs in full screen with the cursor hidden, and leaving it asks for a 4-digit exit PIN that you set in the settings.

Stock & staff

Does stock go down on its own when I sell?

Yes. Link a product to its recipe and every sale deducts the ingredients. You get a low-stock alert before you run out, and you can order from suppliers and receive the stock in the same place.

What if the shelf doesn’t match the screen?

Run the daily reconciliation. Enter what you actually counted and Sansflow shows the variance per item, then updates the stock to your count.

Can I order from my suppliers in Sansflow?

Yes. Add your suppliers, create a purchase order and mark it received when the delivery arrives. The received items go straight into stock.

Can I see where an ingredient went?

Yes. The stock card lists every movement for an item, from sales and deliveries to waste and adjustments, with the balance after each one.

What units can I use?

Pieces, grams, kilograms, millilitres and litres. Each ingredient keeps its own unit, cost per unit and low-stock level.

Can I control what each staff member can do?

Yes. Start from roles like cashier, kitchen, barista, supervisor and manager, or build your own. Discounts need permission, refunds need a manager to approve, and an audit log shows who did what.

Can I change what one person can do without changing the whole role?

Yes. Every paid plan lets you switch single permissions on or off per staff member. On Business you can also build custom roles.

How does attendance work?

Staff check in and out on their own device. Sansflow saves the time, their GPS location and a photo, and you see every entry on the attendance calendar.

What happens to the cash at the end of a shift?

The cashier counts the closing cash. Sansflow compares it with the expected cash from the shift’s sales and cash movements and shows any difference.

Can staff log in with a PIN?Soon

Staff PINs are coming soon. For now, each staff member signs in with their own login.
